The short version
- The Labs tools run entirely in your browser. Your inputs are never sent to us.
- If you send us a message, we use it to reply to you. We do not add you to a mailing list and we do not share it.
- No advertising trackers, no data brokers, no selling of anything.
Information you give us
If you use the contact form or request a call, we receive what you type: your name, email address, and any company, role, region, timeline and message you provide. We use this only to respond to you and, if we work together, to run the engagement.
We keep enquiry correspondence for as long as it is commercially useful, and we delete it on request. Email hello@brainmatrixsolution.com and we will confirm when it is done.
The Labs tools
The automation calculator, AI readiness assessment, build-versus-buy tool and SaaS complexity estimator all calculate in your browser. Nothing you enter is transmitted to us or stored on a server. If you close the tab, the result is gone. If you want us to see it, you have to tell us.
How we count visitors
We measure traffic ourselves, on our own server, without cookies and without any third party. When you open a page, your browser sends us the path you viewed and the site you arrived from — nothing else.
Our server sees your IP address, as every web server must in order to send you a reply. We use it for exactly two things and then discard it:
- To determine your country, using a lookup table stored on our own server. No city, no region, no coordinates.
- To generate an anonymous visitor code — a one-way hash of your IP address, your browser type, a secret value and today’s date. It cannot be reversed, and because the date is part of it, the code changes every day. That means we can tell how many people visited today, and we cannot recognise you tomorrow.
Your IP address is never written to disk and never stored. What we keep is the page path, the country code, the referring site, the anonymous daily code, and a timestamp. We delete these records automatically after ninety days.
We also record a small set of named interactions — that a Labs tool was completed, or that a call booking was opened, for example — so we can see which parts of the site are useful. These carry no personal data.
If your browser sends Do Not Track or a Global Privacy Control signal, we record nothing at all. We honour it both in the browser and on the server.
In addition to the above, we use Google Analytics 4 on this site.
Scheduling
If you book a call, the calendar is provided by Calendly, and the information you enter there is handled under Calendly’s own privacy policy in addition to ours. We receive your name, email address and whatever you write in the booking form.
Cookies
Our own visitor counting uses no cookies. The analytics service named above does set them — typically _ga and related identifiers, used to recognise a returning browser and stored for up to two years.
The embedded scheduling widget may also set cookies if you open the booking page, limited to what that service requires to function.
Nothing is set until you agree. We ask once, and until you answer, analytics storage stays switched off. You can change your answer at any time using the Cookie settings link in the footer — withdrawing is exactly as easy as agreeing.
Your rights
If you are in the UK, EU, Switzerland or another jurisdiction with comparable data protection law, you have the right to ask what we hold about you, to have it corrected, and to have it deleted. In practice the only thing we are likely to hold is correspondence you sent us, because our traffic records contain nothing that can be traced back to you. Email hello@brainmatrixsolution.com. We will respond within thirty days and usually much sooner.
Client data
Where an engagement gives us access to your systems or data, that access is governed by the engagement agreement and any NDA between us, not by this page. Our standing practice is least-privilege access using your own identity and secrets management, and revocation at the end of the engagement.

If we change how we handle information, we will update this page. Material changes will be dated here.
